Meeting Minutes
April 28, 2003

Meeting Called to Order: 7:00pm    by: President Bev Rajzer

Board Members Present: Sarah Burch, Melissa Warkentien, Casey Tripp, Dain Webster, Bev Rajzer, Warren Sell, Karron Tortorelli, Iris Swift, and Tammy Burch. 

Secretary’s Report:  Melissa Warkentien read the secretary’s report due to Jerri Pursley being absent.  There were two corrections.  Casey Tripp had not been present at the March meeting, but was instead at the Pork Quality Certification meeting.  Under the Buyer’s Pictures Committee, Mr. Hagger needed to be Mr. Yeager.  After the corrections were made, Warren Sell made a motion to accept the minutes and Iris Swift seconded that motion.  The motion passed.

Treasure’s Report: Check book- $7,937.80 /  Building Fund- $2,664.78

Bills and Correspondence:  A Thank You was read from the Victor Mead Family for the flowers that were sent.  JLPA also sent the Sabrina Streit Family a Thank You letter for the donation of money given to JLPA after the death of her father.

Committee Reports:

Scholarship Committee- Scholarship winners will be presented at the May 19th JLPA meeting.  There were 2 winners out of the 5 entries.

Fair Book Changes- Warren S. made a verbal Thank You to Iris Swift, Dave Rainey, and Margie Godines for their help making the changes to the fair book.  He said that they should be given a thank you also for all of their hard work and time that they had put into the changes that were made.

Building Committee/Drawing Up Plans- A group met out at the fairgrounds.  They will be moving the plans for the building 17 feet south from were the original plan would have put it.  That was approved.   We’ve been told that we need to either get on the ball now or to not touch it until after the fair so in case if we will still need to use the tent for the beef feeders one more year, things that had been already done wouldn’t get messed up.  The bank needs someone to sign on the dotted line for a loan, and Warren Sell is willing to do that.  Thompsen’s plans need to be drawn up and certified still.  Andy H.’s dad asked that Andy be called about meeting because he is on the Building Committee.  Warren explained why he hadn’t been called before then, but he would try to let him know about anything if at all possible.

Dino was asked to be taken off of the building committee.  He’s fearful that people don’t want him as the Superintendent anymore.  He was never informed about the fair book changes.  Warren told him that he’s still needed on the building committee.  After some discussion, Dino agreed to stay on the committee.  Warren apologized for not letting him know about the fair book changes.  

Buyer Pictures Committee- Nothing.  Everything is all ready to go.

Chuck Wagon Committee- Nothing.   Shannon Moore wasn’t present.

Ag-Olympics Committee- Nothing.   Melissa will try to have something by next meeting.

Herdsmanship Committee- Nothing.

Auction Committee- There is a lot of help needed still.  Janice Rajzer can help.  Mrs. Johnson will also help.  Buyer letters need to be worked on.  It was asked of those at the meeting to skim over last year’s buyer letters and suggest any changes that they found needing to be changed.  On the Livestock Auction Flier take out, “Please present this flier at the entrance gate to enter the fair grounds.”   There were no other suggested changes. 

New Fundraising Committee- Gerri Fleetwood has ideas but she doesn’t want to head it up.  Sabrina Streit will also help.  It was decided that the JLPA Board would be the head of this new committee.   A meeting to throw out ideas was set for May 12th, 7:00pm at the fairgrounds.  There were suggestions made by some people present that were given.  Karron suggested having a Memorial Board made for the barn.   Mr. Streich suggested having a day that is kind of like our Ag-Olympics that would be open for everyone.  There could be a pig roast along with it.  Other suggestions and brainstorming ideas were to be told to a board member or be presented at the May 12th meeting.

Old Business: Tammy Burch asked if anyone knew about buyers being sent away at the gate.  It was talked about but as far as anyone knows that hadn’t happened in the last year or so. 

We need new buyers this year.  Things are going to be very tight with our normal buyers this year, and if we want to have another outstanding year, we need to get new buyers out.   Thank You’s HAVE to be sent out to buyers and sponsors.  It was suggested that we have the kids turn in their thank you’s before they are given their premium checks.  Bev suggested that we buy numerous kinds of thank you’s to have present for the kids and have them pay a $0.50 charge for the thank you and postage.  Thank you signs also need to be put up on Thursday after the auction.  Both of these are very important to getting our buyers to come back in the coming years.  There needs to be a penalization for those that do not put up thank you signs.

Bev asked Dino about the plaques above the pens, and if there was anything new about them?  Dino said that John Spivey still has them.  If we want to have the skill center engrave them for us, we need to get them to them now.  If John can’t get them cut, we can get someone else to cut them.  Tammy B. said that her dad could probably do that if he’s needed to.   Dino will give John a call and let Bev know as soon as possible. 

It was asked if anyone knew anything more about the Clover Buds?  Julie said that they weren’t able to have a meeting about them.  They are waiting for MSU to get back with them.  They are waiting to find the original group of people that put out the letter.   As of right now though, it is set in stone, and we need to get onto making plans as for how to make this change before the summer comes and goes and the fall is already here. 

It was also asked what we are going to do for the kids that missed the Pork Qualification Certification meeting?  There are two possible ways that we can get the rest of those kids through the program.  They can either take it individually on a computer at the Extension Office, or they might possibly have another meeting.  There are still questions as for how we can let the open class kids know about this.

New Business: Barn set up and clean up dates- they spray the barns a few days before the fair.  The tentative set up date is Wednesday, July 2nd at 6:00pm.  Warren will go to the fair board meeting and ask about when they will spray.  The set up date will be official at the May 19th meeting.  

Warren needs permission to purchase the supplies needed to fix the grooming rack that was broken from the wild steer last year.  Tammy Burch made a motion to allow Warren to purchase the supplies needed and to fix the grooming rack.   Iris Swift seconded that motion.  Motion passed.

It was again stated that any animal that a Superintendent or other person in authority feels isn’t safe, that animal will be sent back home right away.

Julie asked if JLPA would like to make a $25 donation for a marble star that will be going in the sidewalk in front of the Bistro as a memorial to people from the community?  Warren suggested that we make a $100 donation, but Julie said that it wasn’t necessary.  She would let them know about the generous offer though.  Warren made a motion to buy a $25 ticket as support to this marble star, and Tammy Burch seconded the motion.  Motion passed.   Julie said that she needs the check because she had already bought one for JLPA before now. 

Our next meeting will be May 19th, at 7:00pm at the fairgrounds.
