Meeting Minutes
September 12, 2005
The meeting was called to order by President L. Godines at 7:00 p.m. Directors present: L.Godines, M. Godines, Blackwell, DeVries, Rainey, Garrod, D. Glover, M. Glover, Popp, Serdel and Tripp. Dorr was absent. Guests included: Janice Rajzer, Melva DeVries, Karron Tortorelli, and TJ Burrows from the Herald Palladium.
Corr: We received a Thank You from the Potowatomi Indian Nation allowing them to have a Child Car Seat Safety Inspection during the fair. They reported that the event went very well. Sec'y Godines has mailed out seventy Thank You notes to people that volunteered during the fair.
Old Business: We have not received the invoice for the Fireworks. Godines to call Night Magic regarding the bill.
Pres. Godines asked if Debbie Glover would organize the Boat Storage again this year. She will be mailing out and emailing past customers notices of the dates of Oct. 22nd and Oct 29th as dates. Times are from 9:00 am to 1:00 pm each Saturday. Rates will stay the same as last year.
M. Godines will be scheduling the Annual Meeting for the end of October. Pres. Godines appointed the Nominating Committee of Greg Blackwell, Debbie Glover and Steve Serdel. Charlie Dorr, Ron DeVries, Louie Godines and Norm Popp's terms expire this year.
Treas. Rainey reviewed the Profit & Loss Statement and the Balance Sheet. Motion by M. Godines, supported by R. Tripp to accept the report. Motion carried. Rainey presented the bills in the amount of $386.19. Motion by R. Tripp, supported by M. Godines to pay the bills. Motion carried. We received a check in the amount of $1,099.21 from the Hartford United Methodist Church for the Kitchen usage. Del Troutman is to call Tuesday regarding the group using or declining to use the kitchen in 2006.
M. Godines reviewed the expenses and donations for the Draft Horse Memorial Pavilion. See attached report. Expenses totaled $5,835.87 and memorials totaled $5,919.00.
Pres. Godines questioned if the association would like to produce a newsletter once or twice a year. Jerri Pursley volunteered to help type the letter. We're getting prices from different printers. J. Rajzer suggested calling Lake Michigan Mailers.
New Business: Rainey reported that the Hartford Engine Show went very well. He thanked Steve Serdel, Rusty Tripp, Norm Popp and Charlie Dorr for helping with the event. They had 67 hitches for the Tractor Pull.
TJ Burrows, representing the Herald Palladium, talked about doing more newspaper advertising for the fair. A lengthy discussion was held. She will provide more pricing later on in the year regarding distribution of fair advertising.
M. Godines received six passes for the St. Joe County Fair if any board member would like them. We're also invited to the "President's Day Dinner" for William Johnson on Tuesday, Sept. 20th beginning at 5:30 p.m. Please RSVP to Margie by Sept. 5th.
Rainey reported that he sold the two old golf carts for $900.00 at the Engine Show. He's been using a 2003 cart from Ellis Sales; cost of $2,710.00. Motion by Blackwell, supported by Tripp to purchase the 2003 cart for $2,710.00. Motion carried.
Melva DeVries reported that several of their T-Posts from the Small Market Animal barns keep disappearing. They will need to be replaced before next year's fair. Rusty Tripp mentioned that the Horse Area has several left over and that SMAC may have them.
Karron Tortorelli reported that the JLPA Annual Meeting will be on Monday, September 26th at 7:00 pm at the Lawrence Conference Center.
Motion by Blackwell, supported by DeVries to adjourn. Motion carried. Meeting adjourned at 8:20 p.m.
Next regular meeting: Monday, October 3rd, 7:00 p.m. at the Van Buren Conference Center in Lawrence.
