Meeting Minutes
October 3, 2005
The meeting was called to order by President L. Godines at 7:00 p.m. Directors present: L. Godines, M. Godines, Blackwell, DeVries, Rainey, Garrod, D. Glover, M. Glover, Serdel and Tripp. Dorr and Popp were excused. Guests included: Melva DeVries, Bev Rajzer, Mary Birmele, Gener Larsson, Dick Melvin, Wallace Heuser and John E. Laman.
Sec. Godines read the minutes from September 12th. They were accepted as read.
Corr: Sec'y Godines read a Thank You Note from Mel & Debbie Glover for the memorial given on her brother's passing.
Treas. Rainey reviewed the Profit & Loss Statement and the Balance Sheet. Motion by M. Godines, supported by Tripp to accept the report. Motion carried. Rainey presented the bills to be paid in the amount of $557.49. Motion by M. Godines, supported by DeVries to pay the bills. Motion carried.
New Business: M. Godines read a letter from the Young Explorers regarding some classes they would like to add to the fair. They would include video, movie, etc. classes. Motion by Rainey, supported by Blackwell to add two classes for a one year trial basis for ribbons only, no premiums. Motion carried.
Pres. Godines selected a nominating committee of Greg Blackwell, Debbie Glover and Steve Serdel. The Annual Meeting will be held on Oct. 26th at 8:00 p.m. at the Lawrence Conference Center. Notices will be sent to all current members. Pres. Godines asked if D. Glover and Melva DeVries would purchase the refreshments for the meeting.
L. Godines reported that Reg. 805 will be reinstated for the following fair year. The news was released at the President's Day Dinner in Centreville.
M. Godines received a call from the Super Kicker Rodeo Co. They will be mailing a contract for our review. We can add some different classes, etc.
D. Glover reported that Boat Storage take-out date will be April 8th from 9:00 a.m. to 3:00 p.m.
Dick Melvin from the Methodist Church
reviewed some concerns they have regarding the use of the kitchen in the 4-H building.
1. Condition of building was very dirty.
2. They would like free passes for the people delivering
food each day.
3. Refrigerators don't work.
4. Window needs a shade cloth or blind.
5. Cover the bulbs over the grill.
6. Doors don't open or close properly on the silver
refrigerator.
7. Paper towel holder by sink.
8. Clean filters above the grill area.
9. Ceiling panels.
10. Screens on doors.
11. Power wash floors.
12. More discount admission tickets.
Dave noted that they did not need to have passes for the early morning shift, Sr.
Citizen's Day, Vets or Ladies' Day. Also, other fairs require everyone pay admission
to their fairs. The Board will review these concerns and get back with Dick Melvin.
Godines suggested having a "Work Bee" where the Board and the Methodist Kitchen could clean the facility together. The Fair would also purchase the paint if the church people would do the painting.
M. Godines questioned if the kitchen would sell ice later than 8:00 p.m. each evening. D. Melvin thought that they could have someone stay later to sell ice. The Methodist Church offered to hold a Benefit Supper to help the JLPA recover some of the funds that were stolen from their building.
Garrod questioned if we want to renew our membership to the MI Fairs and Festivals Assoc. Motion by Blackwell, supported by D. Glover to renew the membership for $150.00. Motion carried.
Sec'y Godines noted that the November and December meetings will be held at the fairgrounds at 7:00 p.m.
Motion by M. Glover, supported by Blackwell to adjourn. Motion carried. Meeting adjourned at 8:35 pm.
