Meeting Minutes
May 2, 2005

The meeting was called to order by President L. Godines at 7:10 p.m. Directors present:  L. Godines, Blackwell, M. Godines, Rainey, DeVries, Dorr, D. Glover, M. Glover, Popp, Serdel and Tripp.  Garrod arrived at 7:20 pm.  Guests included:  Warren Sell, Bev and Janice Rajzer, Karron Tortorelli, John & Tine Streeter, Dino Rigoni, Melva DeVries and Dave & Trish Streich.

Sec. Godines read the April 4th minutes.  They were accepted as read.

Treas. Rainey reviewed the Profit & Loss Statement and the Balance Sheet.  Motion by M. Godines, supported by Blackwell to accept the minutes.  Motion carried.  

Old Business:  We still have not received a contract from Premier Animal Attractions.

Sec'y Godines reported that we have received another request for our 501.C3 Status.  The Association present at the meeting needs to vote on the Amendments to The Articles of Incorporation, then re-file the papers.  Motion by Tina Streeter, supported by Melva DeVries to adopt the Amendments to The Articles of Incorporation.  Motion carried.  Godines will file the papers.

Tripp is to receive a price on Tuesday for the asphalt paving.

Pres. Godines reported that we received the contract from RG Sound.

New Business:  Tina Streeter gave a presentation for a new permanent Seating Pavilion by the Draft Horse Arena.  Memorials had been given in her Mother's name, also several Posse Members that have passed away.  The Posse will be donating $500.00 in memory of MJ Conklin and $1,000 in memory of Sam Taylor, Erv Clauser, Leland Thomas and Leo Bachman.  Leland Thomas' Family would also like to donate enough to buy a set of bleachers w/cover also.  Motion by Dorr, supported by Rainey to have the project proceed with a drawing submitted to the Fair Board for approval; also pay for the cost of the remaining balance not covered by Memorials.  Motion carried.

Rusty Tripp to check w/Barron Paige regarding dust control on the grounds.   Norm Popp to order Port-a-pots, dumpsters and test the wells.  Mel Glover to schedule the Fire Dept., Ambulance Schedule and spraying of grounds.  The spray has been ordered.  Dave Sweet from Hilltop will coordinate the spraying.  Dave Sweet is also scheduling the drivers for the Handicap Golf Carts.  Steve Serdel is to have all of the scales certified for the 2005 Fair.

Garrod wrote a story to the Harold Palladium, also the Kalamazoo Gazette and the Courier Leader regarding the "Battle of the Bands".  Garrod is taking bids for the Sound System for Tuesday night.

Garrod is planning on using the wooden display case for some maps and signage of the fairgrounds.

Janice Rajzer reported that the Teen Club would be available to paint the old Horse Arena and also clean up the grounds.   Godines would like to see the tree area by the campground cleaned up so that it may be used as a picnic area.  Trish Streich offered to clean up the area.

M. Godines passed out the schedule of grounds rental for the 2005 season.

Popp questioned what was the price for getting rid of the tires on June 11th.  Rajzer stated that it was $1.75 for each tire from the fair.

D. Glover has scheduled the Volunteer Dinner for June 23, 2005.  M. Godines has scheduled the Superintendent's Dinner for June 30, 2005.  Invitations will be mailed.

Warren Sell reported that they will be leaving the JLPA Office Building in it's present location for this year.  They are getting prices for the sidewalks - price is $85.00 per yd.  Sell questioned if the Fair Board would be able to share some of the expense of the project.  Discussion followed.  JLPA also needs to set up the Arena before the Carcass Class Show on July 5th.

R. DeVries had a Concessionaire cancel his booth for this year.  Motion by Blackwell, supported by Rainey to reimburse the $600.00 to the exhibitor.  Motion carried.

Ray C. Miller donated $2,000 towards the prize money for the "Battle of the Bands".

Blackwell is expecting $1,000 from Brookfield Dodge as a sponsor for the Rodeo.

Pres. Godines reiterated that we need help mowing, trimming, painting, etc. at the grounds.

Motion by Popp, supported by M. Glover to adjourn.  Motion carried.  Meeting adjourned at 8:30 p.m. 

Next regular meeting:  Monday, June 6th, 7:00 p.m. at the fairgrounds.
